Caloundra Tri Club invites all those interested in triathlons on the Sunshine Coast to join us.

2026 Conditions of entry

 

GENERAL

All applicants must fully complete their details, pay the nominated fee and agree to the participant agreement before their entry is accepted.

Caloundra Triathlon Club reserves the right, in its reasonable discretion, to deny or disqualify any person from participating or continuing in the Event (either before or during the Event). In these circumstances, CTC will refund the person’s entry fees EXCEPT where the person has:

(a) Misrepresented their eligibility to participate in the Event at the time of entry; or

(b) Breached any of the conditions of entry set out in this Form or failed to comply with any event organises directions or instructions.

Entry fees & registrations are non-refundable unless expressly permitted by law, non-transferable from one event to another and cannot be rolled over to next year's event. It is forbidden to participate in an event under another competitor’s registration without notifying the organisers and following the change-of-competitor protocols. Competitors that do not obey this rule waive all insurance coverage and put other competitors at risk. Requests to transfer entries must follow the change-of-competitor protocols outlined below.

All entrants accept that participation in this event is at their own risk and they accept that participating in this event may involve real risk of injury including but not limited to: over exertion, dehydration and accidents with other participants or spectators.

  • I understand that I should not compete in this event unless I have trained the necessary amount. It is my sole responsibility to ensure such training has been undertaken.

  • By entering this event and competing, I accept all risks associated from my participation that could result in loss of life or permanent injury. Accordingly I release all people associated with the conduct of this event from and waive all claims what so ever, and will indemnify them against all liability (including liability for their negligence) for all injury, loss, damage arising out of or connected with my participation in this event. The aforesaid release, waiver, indemnity applies to and includes the people such as, but are not limited to Caloundra Triathlon Club, Sunshine Coast Council, contracted companies and all public authorities, all employees, agents, contractors and volunteers, medical and paramedical staff, and other competitors. This release, waiver and indemnity continue forever and bind my heirs, executors and personal representatives.

  • I consent to receive any medical treatment the event medical team and/or event organiser believes appropriate in the circumstances before, during or after the event.

  • I understand that safety precautions undertaken at the event are merely a service to me but are not a guarantee of safety.

  • Prior to the race, I will provide event organisers in writing all details of my past and present medical or physical conditions that may be aggravated by intense exercise or be relevant if medical treatment is necessary.

  • I consent to event organisers and its supporting partners to use my name, image and likeness, before, during or after the event for event promotional broadcasting or reporting purposes in any media.

  • I consent to event organisers adding my email address to the event eNews and agree to receive emails up to the date of my event. After which time I can choose to unsubscribe from further emails by using the link within the emails.

Prior to the event Caloundra Tri Club will conduct a safety inspection of the course, and at the participant's briefing we, the event organisers, will advise all competitors of any known safety hazards on the course. If the course hazards cannot be safely controlled the event will be modified.

Caloundra Triathlon Club in its sole discretion, may delay, modify or cancel the Event for any reason, including if it believes the conditions on the race day are unsafe. In the event the Event is delayed, modified or cancelled, including but not limited to acts of God or the elements (including without limitation, wind, rough water, rain, hail, hurricane, tornado, cyclone, earthquake), acts of terrorism, fire, threatened or actual strike, labour difficulty, work stoppage, insurrection, war, public disaster, flood, unavoidable casualty, race course conditions, or any other cause beyond the control of Caloundra Triathlon Club, there shall be no refund of Caloundra Triathlon Club's entry fee or any other costs incurred in connection with the Event. In the event the Event is delayed, modified or cancelled, these terms and conditions of entry applies to the changed conditions. Please see below for emergency exception event changes where a contingency race date may be implemented.

Entries in the event are to be completed online at http://caloundratriathlonclub.com.au/racetheroo. Online entries will close on the Friday immediately prior to the race (Friday July 24th, 2025) at 11.59pm, if not sold out sooner. Registrations will also be accepted on race day at the start location if the event has not sold out online.

The overall winner of Race the Roo will be the last individual remaining, or the winner of the last lap, in both male and female categories. Prizes of $250 each will be awarded to these overall winners. To be awarded one of the prizes, entrants must be registered by the event organiser and must present themselves at the completion of the race to claim their prize. If the prize winner is ineligible, the entrant may forfeit their prize.

Adults and children are welcome to register and participate in this event. Children under 18 may, with parental approval enter the event, but it is recommended that they do not run further than the distances outlined in the Austriathlon guidelines below. If an entrant is under 18, a parent or guardian must be present at the event at all times. There are no child entry categories in the race.

All entrants must walk or run unassisted. Bikes, skateboards, rip sticks, roller blades or similar items are prohibited for safety reasons. Adults with infants in strollers/ prams are permitted but must commence at the rear of the race start. Strollers and similar devices must meet Australian Safety Standards and have appropriate safety restraints. Para-athletes are welcome to participate. Dogs (except for accredited Assistance Dogs) are not permitted on the run course. Dogs are welcome in the event precinct provided they are on a lead, and are keep at least five metres away from children’s playground or BBQ facilities.

The race is approved by the Sunshine Coast City Council TE23/0022 and sanctioned by Austriathlon Australia. Permit number QLD10048/030724.

INCLUSIONS

Entries to the event include a race medal and a branded Race the Roo item (subject to availability).

FEES

  • Earlybird Entries prior to June 1st, 2026 - $55

  • Entries June 1st, 2025 to July 24th, 2026 - $65

  • On The Day Entries (if available) - $75

Incomplete entries or declined payment transactions may incur additional administrative fees.

EVENT SELL OUT

In the case of total event sell out, a notification will appear on the event website. No prior warning may be issued.

CHANGE-OF-COMPETITOR PROTOCOLS AND FEES

If you are no longer able to participate in the event you are welcome to transfer your paid-for entry to a friend, provided you follow these protocols.

An entry can be transferred from one entrant to a friend only within the change-of-competitor transfer window. Change-of-competitor transfers will be available between Wed 1 July, 2026 and Wednesday 22 July, 2026 and are only valid for the same year of entry. Should you wish to recoup your entry fee from the new entrant you are transferring your entry to, this is completely up to you and cannot be facilitated by the race organisers.

Transfers will incur a $10.00 processing fee (payable by the new entrant who is receiving the already paid-for entry entry). The transferee (current entrant) is required to complete the attached form and submit it by 11.59pm Tuesday 21 July 2026.

On receipt of this form the organisers will email the transferee (current entrant) with a confirmation and link that they (the transferee) are able to forward on to the new entrant they have specifically nominated.

The new entrant must complete their entry by 11.59pm Wednesday 22 July 2026. A transfer is not completed until the new entrant submits their race entry including the $10 administration fee.

Transfers are only available within the official transfer window to ensure insurance requirements are met, and cannot be facilitated on race day. Once the transferee has submitted the transfer form and the new entrant has submitted an entry, the transfer process is irreversible.

EMERGENCY PANDEMIC EXCEPTIONS

If we, the event organisers, are unable to run the event due to exceptional circumstances such as a pandemic:

We will endeavour to run on our contingency back up date (Sunday 9 August, 2026). We understand the new date may not work for you, so individual's options will be:

  • Remain Entered. Entries will automatically be transferred to the new date and individuals don’t need to do anything.

  • Request a Refund. On postponement of the race we will advise refund procedures and cut off dates by which to make a decision.

Please remember we are a non-for-profit community group and do this with volunteers and a limited budget, so we appreciate participants patience in regard to any changes.

Caloundra Triathlon Club is an affiliated club with Austriathlon Australia and as such is committed to ensuring that everyone involved with Race the Roo is treated with respect and dignity, and is protected from abuse, bullying, harassment, sexual misconduct, discrimination, victimisation, and vilification. As a participant in Race the Roo, it is asked that you will abide by these principles too.
